UNDERSTANDING OUR MISSED APPOINTMENT POLICY AND LATE CANCELLATION POLICY
At Buchanan Optometrists, we treasure each moment we spend with you. Our appointment slots are thoughtfully designed to be significantly longer than most, as our core belief is that the quality of care we provide cannot be rushed. Our exceptional team of qualified optometrists is committed to your well-being and uses state-of-the-art equipment to ensure you receive the best care possible. Our fees reflect this dedicated time and personalized attention.
However, we need your understanding that every missed appointment has a ripple effect that affects us and other clients. When an appointment is missed, it results in vacant clinical time that could have been allocated to another client in need. While we bear the costs of our team's time and overhead expenses, the overall effect is a financial shortfall for our practice, something we would rather not pass on to our valued clients by raising our charges.
We feel fortunate to have such high demand for appointments at Buchanan Optometrists, and to meet everyone's needs, we strive to keep waiting times as short as possible. To help us in this, we request that you notify us at least 48 hours in advance if you cannot attend your scheduled appointment.
We understand that life happens and plans can change, so we've designed a cancellation policy we believe is fair and compassionate. If, for any reason, your appointment is missed, changed, or cancelled with less than 48 hours' notice and we cannot fill the slot, a charge will be applied. Upon your first missed booking, we kindly request that you settle the missed appointment fee. Once done, we'll happily allow you to rebook an appointment, for which you will not have to pay if the appointment is booked for a time within one month of the initial missed appointment. However, if this rebooked appointment is also missed, the standard missed appointment fees will be applied to both appointments and will be non-refundable.
Moreover, we reserve the right to charge an administrative fee for missed appointments. Our debt collection agency may also apply this fee if they are engaged to recover costs where necessary. We want to remind you that these policies are in place to ensure fairness and optimal service for our valued clients. However, we reserve the right to modify these policies without prior notice to accommodate our operations' dynamic nature and continue offering you the best possible service.
For your next booking, we kindly ask you to secure your slot by paying in advance as a deposit in full. If you need to change your appointment, we ask for 48 hours' notice to ensure your payment is fully refundable. Otherwise, your payment will not be refundable. Should you book an appointment within a 48-hour timeframe, we will allow a 3-hour grace period for any changes or cancellations, after which full cancellation charges will apply.
